Privacy Policy

SharedDays is a shared family calendar and household planning app. We collect the information needed to create accounts, sync family plans, send reminders and agenda messages, support profile pictures, provide optional Smart Add AI, provide support, and keep the service secure.
We do not sell personal data. We do not use family calendar content, uploaded profile pictures, or Smart Add prompts for third-party advertising. User data sent between the app and our servers is encrypted in transit.
Who We Are
This Privacy Policy explains how SharedDays collects, uses, shares, protects, and deletes information when you use the SharedDays website, web app, iOS app, Android app, widgets, notifications, and related services.

Information We Collect
SharedDays collects information that you or other family members provide, information created through use of the app, and limited technical information needed to operate the service.
- Account information, such as email address, display name, authentication identifiers, sign-in provider, account ID, and sign-in metadata.
- Family information, such as family name, family member names, roles, colours, invite codes, invite details, profile settings, optional profile pictures, and optional home area or weather location.
- Planner content, such as calendar events, event notes, locations, attendees, reminders, comments, checklists, shopping items, chores, meal plans, preparation templates, family notes, activity records, and calendar subscription details.
- Photos and images you choose to provide, such as profile pictures for family members and selected photos or screenshots used with Smart Add AI. SharedDays does not access your camera or photo library unless you choose to take or select an image through the app or your device picker.
- Smart Add AI information, such as text prompts, selected image attachments, compressed image metadata, family member names and roles needed for assignment suggestions, date and time-zone context, draft event details, AI provider and model details, token counts, request type, usage limits, errors, cache status, and correction or review data when you save or edit an AI-generated draft.
- Notification information, such as push device tokens, notification preferences, agenda email preferences, queued notification records, delivery status, and dismissal settings.
- Weather settings, such as a town, city, postcode, or family location query when weather features are enabled.
- Subscription and purchase status, such as app-store product identifiers, purchase tokens or receipts, subscription tier, expiry or renewal status, and related verification results when paid features are enabled.
- Support and diagnostic information, such as messages you send to support, device type, operating system, app version, platform, build number, user ID, family ID, error messages, delivery failures, and troubleshooting context.
- Basic technical information automatically handled by our hosting and service providers, such as IP address, request metadata, authentication tokens, security logs, and server logs.
Information We Do Not Intentionally Collect
SharedDays does not ask for or intentionally collect government ID numbers, payment card numbers, health records, phone contacts, SMS messages, call logs, audio recordings, precise GPS location, biometric information, or full photo-library contents.
Because SharedDays includes free-text fields, photo upload, screenshot upload, and profile picture features, users may choose to add personal or sensitive information into calendar events, notes, comments, shopping items, chores, images, or other planner content. Please only add information that should be visible to the family members who have access to that family space and, for Smart Add AI, suitable to send to our AI processing provider.
How We Use Information
We use information for the following purposes:
- To create and manage accounts, sign-ins, profiles, family spaces, roles, invites, and access controls.
- To provide shared calendar, Today, reminders, alerts, chores, shopping, meals, notes, widgets, agenda email, weather, and related app features.
- To store, resize, display, sign, replace, and remove profile pictures that authorized family members choose to upload.
- To provide Smart Add AI, including turning text prompts, photos, or screenshots into draft calendar events, applying usage limits, preventing misuse, estimating cost, debugging failures, and improving the reliability of the Smart Add workflow.
- To sync family content across devices and show the right information to the right family members.
- To send push notifications, in-app alerts, agenda emails, reminder emails, and service messages that users enable or request.
- To verify purchases, manage subscription status, unlock paid features, and prevent purchase misuse where paid features are enabled.
- To provide customer support, investigate issues, fix bugs, improve reliability, and keep the service secure.
- To comply with legal obligations, enforce our terms, protect users, and prevent misuse of the service.
Family Sharing And Visibility
SharedDays is built around shared family spaces. Content added to a family space may be visible to other members of that family space depending on their role and permissions. This can include calendar events, event details, comments, lists, chores, meals, notes, activity records, member names, colours, roles, profile pictures, and reminders.
Family owners and adult members may be able to invite or remove members, update family settings, manage child or non-login profiles, and change shared family content. Only invite people who should have access to your family space.
Children And Family Profiles
SharedDays may let a parent, guardian, carer, or family owner create child or family member profiles for household planning. These profiles may include a name or nickname, role, colour, profile picture, assignments, events, chores, meals, reminders, and related planner content.
SharedDays is intended for household organization by families and carers. It is not intended for children to create accounts without appropriate permission from a parent or guardian. If you believe a child has provided account information without appropriate permission, contact us at support@shareddayscalendar.app.
Smart Add AI, Photos, And Screenshots
Smart Add AI is optional and may be limited to Plus families, selected platforms, or enabled feature types. When you use Smart Add AI, SharedDays may send your prompt, selected photo or screenshot, family member names and roles, date context, time-zone context, and related request metadata to our backend and to an AI provider so the service can draft planner content for your review.
Selected Smart Add images are compressed in the app before upload. Smart Add photos and screenshots are used to extract possible event details; they are not added to your family calendar unless you choose to save draft content. AI-generated drafts can be incomplete or incorrect, so you should review them before saving.
SharedDays keeps AI request logs with metadata such as user ID, family ID, request type, provider, model, prompt length, usage counts, status, errors, cache status, and estimated cost. Text AI requests may be temporarily cached to reduce repeated provider calls. Image request media is not stored in the Smart Add draft cache, but extracted drafts, saved events, review changes, diagnostics, and support context may be retained as described in this policy.
SharedDays does not use your family content, prompts, photos, or screenshots to train SharedDays-owned AI models. Third-party AI providers may process prompts, images, responses, and technical metadata under their own service terms and data-processing arrangements, including for security, abuse prevention, debugging, legal compliance, service operation, and, depending on the provider or product tier, service improvement.
Profile Pictures
Authorized users may upload profile pictures for themselves or, where permissions allow, for child or managed family member profiles. Profile pictures are cropped and compressed before upload, stored in a private Supabase Storage bucket, and displayed through time-limited signed URLs to signed-in family members who can access the family space.
Profile pictures are shared family profile content. A family adult or owner may replace or remove profile pictures where the app permits it. If you upload a photo of another person, you are responsible for having the right and appropriate permission to use it in your family space.
Service Providers And Sharing
We share information only as needed to operate SharedDays, support users, comply with law, or protect the service. We do not sell personal data.
- Hosting, database, authentication, storage, realtime, and server functions are provided through Supabase.
- Profile picture storage and signed image delivery are provided through Supabase Storage.
- Smart Add AI may use Google Gemini API or another configured AI provider, such as OpenAI, through our backend. We send only the content and context needed for the AI request and related safety, logging, rate-limit, and reliability controls.
- Push notifications may be delivered through Apple Push Notification service, Firebase Cloud Messaging, and related platform services.
- Agenda or support emails may be processed through an email delivery provider.
- Optional weather features may send a location query, such as a town, city, postcode, or family location setting, to a weather provider to retrieve forecasts.
- Optional calendar subscription features may fetch calendar feed URLs that a user chooses to add, and may store imported event details so those events can appear in the family calendar.
- App-store purchase verification may involve Apple, Google Play, and our backend systems when paid features are enabled.
- Advertising services are not enabled in the current SharedDays release. If ads are enabled in a later release, this policy and the app-store privacy disclosures should be updated before release.
We may also disclose information if required by law, to respond to valid legal requests, to protect rights and safety, or as part of a business transfer such as a merger, acquisition, or sale of assets, with appropriate notice where required.
Security
SharedDays uses Supabase authentication, database row-level security, private storage buckets, time-limited signed URLs for profile pictures, server-side functions for privileged actions, and access controls designed to limit family data to authorized users. Service-role keys and AI provider API keys are not stored in the app.
User data sent between the app and our servers is encrypted in transit using HTTPS/TLS. We use reasonable technical and organizational measures to protect information, but no online service can guarantee absolute security.
Local Device Storage
SharedDays may store limited app state, preferences, cached content, or session information on your device so the app can remember settings, keep you signed in, improve loading, support widgets, and provide the app experience. Local device data may remain on your device until you sign out, clear browser or app storage, uninstall the app, or delete your account.
Retention
We keep information for as long as needed to provide SharedDays, maintain family spaces, comply with legal obligations, resolve disputes, prevent misuse, and enforce our terms.
- Account, profile, and profile picture data is generally kept while your account, family membership, or relevant family profile remains active.
- Shared family content is generally kept while the family space remains active or until it is deleted by authorized family members.
- Smart Add AI request logs, draft cache entries, correction records, diagnostics, and provider responses may be kept for limited periods to operate the feature, enforce limits, troubleshoot issues, prevent misuse, and improve reliability. Text draft cache entries are designed to expire after a configured period.
- Selected Smart Add photos and screenshots are transmitted for processing when you use the feature. SharedDays does not intentionally keep the original image as a family record unless you separately upload it as a profile picture or save extracted content into the planner.
- Notification queues, delivery records, diagnostics, security logs, and support records may be kept for a limited period to operate, troubleshoot, and protect the service.
- Some records may be retained longer where required for legal, security, fraud prevention, backup, or accounting reasons.
Deletion
You can request account deletion from Settings in the app or through the SharedDays data deletion page. If you cannot access the app, email support@shareddayscalendar.app from the email address on your account.
Account deletion removes your login, profile, email from SharedDays profile records, personal settings, notification device records, queued private notification and email records, personal comments, AI logs tied to your profile where they cascade with your profile, and personal membership records where supported. Families where you are the only real account owner may be deleted. Families with another account member may be transferred to another adult or account member before your membership is removed.
Shared calendar events, lists, chores, meals, notes, profile pictures, subscriptions, imported events, Smart Add drafts saved as planner content, and other shared family records may remain available to other family members where needed to preserve their household plans. Your account identity is removed from those shared records where supported.
Your Choices
- You can update many account, family, notification, agenda email, weather, and app preferences in SharedDays settings.
- You can choose whether to enable push notifications where your device supports them. You can also manage notification permissions in your device settings.
- You can choose whether to upload profile pictures. You can replace or remove profile pictures where your family role and app permissions allow it.
- You can choose whether to use Smart Add AI. You can use manual event creation or local parsing where available instead of sending prompts or images to the AI helper.
- You can manage camera and photo-library permissions in your device settings. SharedDays only receives the image you choose to take or select through the app or system picker.
- You can choose whether to enable agenda emails and optional weather settings where those features are available.
- You can remove or change family content if your role has permission to do so.
- You can leave a family space or ask a family owner to remove you, subject to the family and account controls available in the app.
- You can request account deletion using the app or deletion page.
International Use
SharedDays and its service providers may process information in countries other than the country where you live. Where required, we use appropriate safeguards for international processing and transfers.
Changes To This Policy
We may update this Privacy Policy when SharedDays changes, when service providers change, or when legal or app-store requirements change. The updated version will be posted at this URL with a new last updated date. If a change is material, we may provide additional notice in the app or by email where appropriate.
